Setting Up Voicemail

Setting Your VoiceMail Greetings

Dartmouth's new phone system has 4 types of voicemail greetings you can use:

"unavailable" allows you to record a voicemail greeting for when you are at work but not answering your phone;
"busy" is the greeting for phones that are included in a Dial Plan (i.e., call tree) and the call queue is busy.
"name" is where you just record your name. This would then get prepended to the standard greeting (e.g. "john doe is not available. Leave a message.")
"temporary" is when your regular unavailable message is not pertinent (e.g. you're on vacation). If you record a temporary message, it is automatically the message that callers hear until you go in and erase the temporary message. Erasing the temporary message automatically makes the unavailable or name message the one that callers hear, as appropriate. You do not need to re-record your unavailable and name messages.

There are a few different ways in which you can access GoToConnect's voicemail system. (See How do I add a voicemail greeting? - GoToConnect Support for details.) The steps below work when using GoToConnect Desktop and Mobile, and/or your desk phone at Dartmouth. They do not work with a phone that is not part of Dartmouth's phone system (e.g. a home phone). If you are at home and need to update the voicemail greeting on your Dartmouth phone, and do not have GoToConnect installed on a computer or cell phone that is with you, log into my.jive.com then follow these directions. See https://services.dartmouth.edu/TDClient/1806/Portal/KB/ArticleDet?ID=85346 for information on logging into the web portal.

Listening to VoiceMail Messages

With Dartmouth's phone system, you have the option to automatically send your voicemail messages to an email account, then automatically delete the message from your phone. If you do not choose that option you can listen to the voicemail messages left on your phone using the steps below. Note: You can only have 99 voicemail messages saved on your phone. If you are not going to have them sent to your email and automatically deleted from your phone, you will need to delete messages to keep it under this limit.

If you use the GoToConnect Desktop software, click the VoiceMail icon in the left column. Hover over the message you want to listen to, and click the Play button. To delete the message, click the Trash icon.
If you use a desk phone, press the Voicemail button on your phone, then Connect. Note: if you don't have a Voicemail button on your phone, press the Home button. You will be presented with a menu. The third item in the menu is messages. Press the 3 key on the keypad. You'll be prompted to enter the password for your phone. Next, press 1. The new messages will play. Press 7 to delete the message after listening to it. OR, dial *99 and enter the password for your phone when prompted.
If you want to use the GoToConnect Mobile client, touch the phone handset icon, the then Voicemails tab. Touch the play icon to hear the message. To delete the message, touch the trash icon.
If you want to use the web portal, log in at my.jive.com with your Dartmouth NetID and password. Click the VoiceMail icon in the left column. Hover over the message you want to listen to, and click the Play button. To delete the message, click the Trash icon.
To list to your voicemail messages when you are at someone else's desk phone, dial *98 on their phone, enter the last 4 digits of your phone number, then the password for your phone.

Automatically Forwarding VoiceMail Messages to Your Email

Dartmouth's phone system allows you to automatically forward any voicemail messages left on your phone to any email address, then to automatically delete those messages from your phone.

Note: If you use the GoToConnect Desktop software, simply follow the instructions below. If you use the GoToConnect Mobile client, a desk phone, or the phone web portal, log in to the web portal first at my.jive.com with your Dartmouth NetID and password before following the instructions below.

Click your profile icon in the upper right corner, then Settings from the menu that appears.
Click Voicemail from the left column.
Place a check in the Enable voicemail-to-email notifications field, then enter the email address to which you want your voicemail messages sent (be sure there are no typos!).
Place a check in the Email voicemail recordings field, selecting WAV as the file type.
Place a check in the Delete messages after emailing voicemail field.

If you are not seeing voicemail messages in your email account, check your junk email folder. The sender on your voicemail messages will be "Voicemail box 6####" where the pound signs are your Dartmouth extension.
